Information we handle

We may handle the following information when DentiBuddy is used:

• Clinic and account information, such as the clinic name, owner or staff contact details, adjustment interval, reminder wording, booking availability, and any clinic penalty policy.
• Information provided when a clinic joins the waitlist or requests setup or support.
• Facebook Page connection details and the permissions the clinic grants during guided setup. Connecting a Page does not transfer ownership of that Page to DentiBuddy.
• A patient's name and email entered after scanning the clinic QR code, the Messenger details needed to contact that patient, and reminder enrollment and timing information.
• Appointment information received through the online booking link, including the details needed to match a booking to a reminder and send a confirmation.
• Basic technical information used to operate, secure, and improve the service.

How we use information

We use information to:

• Guide clinic setup and connect the clinic's chosen Facebook Page.
• Register patients who scan the clinic QR code for braces adjustment reminders.
• Send reminders before an adjustment is due.
• Check whether a patient has already booked before a follow-up sends.
• Match online bookings to reminders, support confirmations, and sync bookings with the clinic calendar when connected.
• Honor patient reminder opt-out requests.
• Set up, maintain, secure, and support DentiBuddy.
• Respond to support, privacy, and deletion requests.

DentiBuddy does not sell personal information or use patient information for unrelated marketing. Bookings made by phone, walk-in, or staff message are not automatically detected through the online booking link; the clinic tracks those appointments separately.

Not dental advice

DentiBuddy sends administrative reminders and booking links configured by the clinic. It does not diagnose conditions, recommend treatment, or replace a dentist's professional judgment.

Service providers

We use providers for Facebook and Messenger connection and messaging, online booking, email, calendar syncing when connected, hosting, and security. Information needed for each function may be shared with its provider and the relevant clinic. These providers also operate under their own terms and privacy policies. Patient information is not shared with other clinics.

Retention and security

We keep information only as long as reasonably needed to provide the service, meet legal obligations, resolve disputes, and protect the service. We use reasonable administrative and technical safeguards, but no online system can promise absolute security.

Your choices

You may ask to access, correct, or delete personal information associated with DentiBuddy, or ask the clinic to stop your reminders. Other privacy rights may apply under relevant law. Some information may need to be retained when required by law or for legitimate security and recordkeeping needs.
